1. Purpose This Content Management Policy establishes the guidelines for creating, managing, sharing, and removing content within the Operator Training Academy Moodle Learning Management System (LMS). The policy ensures that all content complies with institutional, legal, and regulatory standards while supporting an effective and respectful learning environment.


2. Scope This policy applies to all content creators and users of the Operator Training Academy Moodle LMS, including instructors, administrators, and students. It covers all forms of content, including text, media, assessments, and user-generated contributions such as forum posts.

3. Content Creation and Upload Guidelines

  • Copyright Compliance:

  • Accuracy and Relevance:

    • Content must be accurate, up-to-date, and relevant to the educational objectives.

    • Instructors are responsible for reviewing and updating course materials as needed.

  • Prohibited Content:

    • Content that is offensive, discriminatory, harassing, or otherwise inappropriate is strictly prohibited.

    • Malware, viruses, or other harmful software must not be uploaded.


4. Content Sharing and Distribution

  • Access Control:

    • Content visibility must align with user roles (e.g., students, instructors, administrators).

    • Sensitive materials should be restricted to authorized users only.

  • External Distribution:

    • Content shared outside the LMS requires explicit approval and must not violate copyright or privacy policies.

5. Content Retention and Removal

  • Retention:

    • Course materials, including score sheets and test materials, will be retained for 2 years after course completion in accordance with the Data Retention Policy. Certificate records required for verification purposes will follow the 20-year retention guideline or until a removal request is submitted.

    • User-generated content, such as forum posts, will also follow the 2-year retention guideline unless otherwise specified by institutional policies.

  • Removal:

    • Instructors and administrators may remove outdated or irrelevant content at their discretion.

    • Content violating this policy or the Data Retention Policy will be promptly removed, and the responsible user may face disciplinary action.


6. User Responsibilities

  • Users must ensure that all content they upload complies with this policy and supports a respectful and effective learning environment.

  • Users must report any inappropriate, inaccurate, or harmful content to the LMS administrator or course instructor immediately.


7. Administrator Responsibilities

  • Administrators are responsible for overseeing compliance with this policy and managing content permissions.

  • Regular audits of uploaded content will be conducted to ensure adherence to institutional, regulatory, and Data Retention Policy standards.

  • Administrators must act promptly to address violations, including removing content and notifying the responsible parties.


8. Policy Enforcement

  • Violations of this policy, such as uploading prohibited or unauthorized content, may result in disciplinary actions, including account suspension or removal from courses.

  • Serious breaches may be referred to military or federal authorities if applicable.


9. Policy Review This Content Management Policy will be reviewed annually and updated as necessary to reflect changes in institutional standards, regulations, or best practices.
